Privacy notice — eBACCO contact requests, preorders and appointments

Version 2026-10-15b · pursuant to Article 13 of Regulation (EU) 2016/679 (GDPR)

This notice explains how E:DEN processes the personal data you enter in the forms on preordini.e-den.tech (expression of interest and eBACCO preorder) and when you book an appointment from the E:DEN calendar.

Data controller

E:DEN S.r.l., Via G. Verdi 20, 57023 Cecina (LI), Italia, VAT and tax code 02079270498. For any request about your data: amministrazione@e-den.tech.

What data we process

Data you enter in the forms: full name, email and, if provided, phone, country, company, main activity and message; for a preorder also the booking type, quantity and the indicative amounts shown in the form.

Data recorded with the request: date and time and, for the forms on the eBACCO page and for demo bookings, confirmation that you read this notice and, if present in the link you arrived from, campaign parameters (such as utm_source, utm_campaign) and the referring website.

For appointments (online demo or meeting at EIMA): name, email and the data you enter in the booking form — company, role, sector and size of the business (for example hectares or construction sites), number of employees, phone, whether you already have an EIMA ticket and whether you ask for help getting one — plus the chosen date and time.

IP address: it is not stored with your request. It is recorded in the web server's technical logs and used to limit repeated submissions: by the page, for a few minutes and in memory only; by the E:DEN calendar, in pseudonymised form (a cryptographic fingerprint) in a counter kept for about 48 hours.

Why we process it and on what legal basis

To answer your request, contact you, handle the preorder and arrange appointments: processing is necessary to take steps at your request prior to entering into a contract (Art. 6(1)(b) GDPR).

To keep the service secure and prevent abuse and automated submissions (IP address) and to understand which channels requests come from (campaign parameters): E:DEN's legitimate interest (Art. 6(1)(f) GDPR).

We do not use your data for newsletters or promotional messages without your specific consent, which these forms do not collect.

Providing your data

Name and email are required so we can contact you; the preorder form also requires a phone number. To book a demo, the fields marked as required in the form (for example company, sector and number of employees) are also needed to prepare the meeting. All other fields are optional.

Who can access the data

Authorised E:DEN staff handling commercial requests.

Technical service providers acting as data processors: Amazon Web Services (infrastructure running this site and E:DEN's business systems) and Google, through Google Workspace (email, calendar and Google Meet video calls used to reply and for appointments).

Your data is not sold or disclosed to the public.

Where it is stored and transfers

This site and E:DEN's business systems run on Amazon Web Services servers in the Frankfurt data centre (Germany, European Union).

Google may process data outside the European Economic Area. Any transfer to third countries takes place only under the safeguards of Chapter V GDPR, such as a European Commission adequacy decision or the standard contractual clauses in the provider's agreements.

How long we keep it

Expressions of interest that do not lead to a preorder or a contractual relationship: up to 24 months after the last significant commercial interaction, unless legal obligations require otherwise.

Preorders and contractual relationships: for the duration of the relationship and afterwards for the periods required by applicable law.

Web server technical logs, which contain the IP address: deleted automatically after 14 days.

Backups: E:DEN's business database is backed up daily on the same server; these routine copies are deleted automatically after 7 days. Technical interventions may require extraordinary copies, which do not follow this rotation and are kept for as long as the intervention requires.

Your rights

You can at any time request access, rectification, erasure, restriction, portability and object to processing based on legitimate interest (Articles 15–22 GDPR) by writing to amministrazione@e-den.tech.

You also have the right to lodge a complaint with the Italian data protection authority, the Garante per la protezione dei dati personali (www.garanteprivacy.it).

Cookies and tracking

With your consent, preordini.e-den.tech uses the following third-party services to measure page use and demo requests: Google Tag Manager. Without consent they are not loaded. Legal basis: your consent (Art. 6.1.a GDPR). These providers may process data in the United States, under the EU-US Data Privacy Framework or standard contractual clauses.

Consent is optional, separate for analytics and marketing, and can be changed at any time from “Cookie preferences” at the bottom of the page. Your choice is remembered on your device.

We send no name, email or other identifying data to analytics tools: only events such as opening the form or confirming an appointment.

Only with the ad-measurement consent: when you confirm an appointment, the email and phone given in the form are turned in your browser into an encrypted fingerprint (SHA-256) and sent to Google Ads to link the appointment to the ad (“enhanced conversions”); the ad click identifier (gclid, gbraid, wbraid) is kept with the booking in Budget to measure which campaigns bring appointments. Personalised ads (remarketing) need a separate choice.

E:DEN statistics

To understand which pages and content are useful, E:DEN counts page views and a few actions (for example a click on “Book a demo”, use of the calculator, opening the video full screen) in aggregate form. Once per page the browser sends only: the page address without parameters, the language, a screen-width band, the domain you came from and any utm campaign parameters. We use no cookies and no identifiers stored on your device, we do not rebuild individual visits or paths, and we do not read what you type in forms.

The data are summed straight into daily counters (for example “120 page views of /en on 21/10”) and contain no IP address: the IP is only used, for a few minutes and in memory, to limit automated sending, and stays in the server's technical logs for at most 14 days for security. Counters are kept for 25 months on E:DEN servers in the EU and are not shared with third parties.

Legal basis: E:DEN's legitimate interest in aggregate statistical measurement of its own site (Art. 6.1.f GDPR), by means that the Italian Data Protection Authority's cookie guidelines (10 June 2021) treat as technical tools. If your browser sends “Global Privacy Control” or “Do Not Track”, nothing is collected.

Only with your consent (“Detailed E:DEN statistics” in the preferences) do we also count sections reached, scroll depth, button clicks for the aggregate heatmap and loading times. These are always aggregate counts, with no coordinates and no individual sequences. You can withdraw consent at any time from “Cookie preferences”: collection stops immediately.
